Setting Up Outlook on Your iPhone or Android Phone

The Microsoft Outlook app for your phone keeps your work email, calendar, and contacts in one place — and it's the best way to access your Microsoft 365 email on mobile.
Download the Outlook app:
- iPhone: App Store > search "Microsoft Outlook" > tap Get > Install
- Android: Google Play Store > search "Microsoft Outlook" > Install
The app is free. Make sure it's published by Microsoft Corporation.
Adding your Microsoft 365 work account:
First time opening Outlook:
1. Tap Add Account
2. Enter your full work email address (e.g.
[email protected])
3. Tap Add Account — Outlook detects it's a Microsoft 365 account automatically
4. You're redirected to the Microsoft sign-in page — enter your password
5. Complete MFA if prompted:
- Approve the notification in your Microsoft Authenticator app, OR
- Enter the 6-digit code from Authenticator
6. Tap Yes to stay signed in
7. Your inbox begins syncing — this may take a few minutes on first load
If you already have Outlook open:
Tap the three lines (hamburger menu) in the top-left > tap the email icon or your initials at the top > Add Account > enter your work email and follow the same steps above.
What syncs automatically:
- Inbox and all email folders
- Calendar (same as your Outlook calendar on your computer)
- Contacts from your organization
- Microsoft Teams meeting links in calendar invites
Customizing notifications:
By default, Outlook notifies you for every email. To reduce interruptions:
Tap the three lines > Settings > tap your account > Notifications
Set Focus Inbox, notification sounds, and whether to notify for all mail or just important mail.
Setting up multiple accounts:
You can add personal email (Gmail, Outlook.com, etc.) alongside your work account.
Tap three lines > tap your profile icon > Add Account
Troubleshooting:
- Account won't add: Make sure your work email and password are correct. If your company requires device enrollment (Intune), follow any additional prompts.
- Email not syncing: Force-close the app and reopen. Check you have internet. If still not syncing, remove the account and re-add it.
- Calendar not showing: Tap three lines > Calendar. Make sure your work account's calendar is toggled on.
Security note:
If your company uses Microsoft Intune (mobile device management), you may be prompted to set a passcode or allow the company to remotely wipe the app's data from your device if it's lost or stolen. This only affects the Outlook app's data — not your personal files.
