QuickBooks Desktop: Multi-User Mode on a Local Network

QuickBooks Desktop can be used by multiple people at the same time from different computers on the same office network using Multi-User Mode. Here's how it works and what your team needs to know. How it works: One computer (the server or host computer) stores the QuickBooks company file (.QBW). Other computers (workstations) connect to that file over the network. QuickBooks Database Server Manager runs on the host computer to manage these connections. What each user needs: - QuickBooks Desktop installed on their computer (the same version as the host) - Network access to the shared folder where the company file is stored - Their own QuickBooks user login (set up by the admin — see below) Switching between Single-User and Multi-User mode: The host computer switches modes from within QuickBooks: File > Switch to Multi-User Mode — this allows other workstations to connect simultaneously File > Switch to Single-User Mode — only one person can work at a time (needed for some tasks like backup and certain reports) Note: When another user is connected in Multi-User mode, you cannot switch back to Single-User mode until all other users exit the company file. Tasks that require Single-User Mode: - Creating a backup - Condensing data - Running some accountant tools - Importing data Whoever needs to do these tasks must coordinate with other users to exit the file first. Setting up QuickBooks user accounts (admin task): Each person who uses QuickBooks should have their own login — never share usernames. The QuickBooks admin (usually the owner) goes to: Company > Set Up Users and Passwords > Set Up Users > Add User Assign a username, password, and permission level (Full Access, or restricted to specific areas like Payroll, Sales, etc.) Opening the company file from a workstation: 1. Open QuickBooks on the workstation 2. File > Open or Restore Company > Open a company file 3. Browse to the network location where the file is stored (it will be on the host computer's shared folder) 4. Select the .QBW file and click Open 5. Sign in with your QuickBooks username and password Common multi-user issues: - "Another user has this file open": Confirm all users have properly closed the file. If the problem persists, look for .LCK files in the company file folder — delete them when everyone is out. - "H202 error" or "Cannot switch to multi-user mode": Usually a network or hosting configuration issue — contact us and we can fix it. - Performance is slow in multi-user mode: Heavy reports, large data files, or a slow network can cause this. Running reports in single-user mode is faster.
