When setting up Outlook on a new Windows computer with Microsoft 365, open Outlook and enter the user's Microsoft 365 email address. Modern authentication (OAuth) will handle the rest automatically — the user will be redirected to the Microsoft login page and then prompted for MFA.
If the account doesn't auto-configure, go to File > Add Account, enter the email address, click Connect, and sign in through the web prompt. Avoid entering passwords directly into Outlook's legacy fields unless modern auth is not supported.
After the account is added, Outlook will begin syncing email, calendar, and contacts. Initial sync time depends on mailbox size — large mailboxes may take 30–60 minutes. If Outlook gets stuck on "Updating," restart the application or check the connection status bar at the bottom of the screen.
