Setting Up a Shared Mailbox in Exchange Online

Shared mailboxes allow multiple users to read and send email from a common address (e.g.,
[email protected]) without requiring a separate license. To create one, go to admin.microsoft.com > Teams & groups > Shared mailboxes > Add a shared mailbox.
Enter a display name and email address, then click Save. After creation, click Add members and add the users who need access. Members can access the shared mailbox in Outlook by going to File > Open & Export > Open Other User's Folder, or it will appear automatically in Outlook's folder list within 30 minutes.
Shared mailboxes have a 50 GB storage limit by default. If you need archiving, enable the In-Place Archive from the Exchange admin center. Note: shared mailboxes should not be used as primary mailboxes for individuals — always assign a personal license for that purpose.
