For smooth Teams meetings, test your audio and video before joining using the pre-meeting check (click the gear icon in the join screen). Use a wired connection when possible, or position yourself close to the Wi-Fi router to minimize packet loss.
Meeting organizers should use lobby settings to control who can join directly — set it to "People I invite" for sensitive meetings, or "Everyone" for open town halls. Use the Presenter role carefully: only assign it to those who need to share content or manage attendees.
Recordings are stored in OneDrive (for personal meetings) or SharePoint (for channel meetings). Notify participants before recording — this is required under privacy laws in many jurisdictions. Use meeting chat for links and notes so everything stays in one place. After the meeting, Teams automatically generates a transcript if transcription is enabled by your admin.
