Setting Up Calendar Sharing and Permissions in Outlook

Users can share their Outlook calendar with colleagues for scheduling visibility. In Outlook, right-click the calendar under My Calendars and select Sharing Permissions. Enter the colleague's email, choose a permission level (Can view when I'm busy, Can view titles and locations, Can view all details, or Can edit), and click Send. For executive assistant scenarios where one person needs to manage another's calendar, grant "Can edit" permission and also give delegate access via File > Account Settings > Delegate Access. This allows the delegate to accept/decline meetings on the executive's behalf. Admins can manage calendar permissions in bulk using PowerShell: Set-MailboxFolderPermission -Identity [email protected]:\Calendar -User [email protected] -AccessRights Editor. Review calendar permissions annually to ensure departed employees no longer have access to sensitive calendars.
