If OneDrive shows a sync error, files aren't uploading, or changes aren't appearing across devices, here's how to fix it.
Step 1: Check the OneDrive icon in the taskbar
Look for the OneDrive cloud icon in the bottom-right system tray.
- White cloud = syncing normally
- Blue cloud = OneDrive for work/school
- Red X = sync error
- Yellow triangle = warning
Click the icon to see status messages and errors.
Step 2: Pause and resume sync
Click the OneDrive icon > Pause syncing (select any duration) > then click Resume syncing. This often clears stuck sync states.
Step 3: Make sure you're signed in
Click the OneDrive icon > Settings > Account. Confirm your work email address is shown and signed in.
Step 4: Check file name restrictions
OneDrive won't sync files that:
- Have names longer than 400 characters (including the full path)
- Contain these characters: " * : < > ? / \ |
- Are named .lock, desktop.ini, or other reserved names
Rename any problematic files and OneDrive will sync them.
Step 5: Restart OneDrive
Click the OneDrive icon > Help & Settings > Quit OneDrive. Then search for OneDrive in the Start menu and reopen it.
Step 6: Reset OneDrive
This resyncs everything from scratch (your files are safe).
1. Press Win + R
2. Type: %localappdata%\Microsoft\OneDrive\onedrive.exe /reset and press Enter
3. Wait a couple of minutes, then reopen OneDrive from the Start menu
Step 7: Check storage quota
If your OneDrive storage is full, nothing will sync. Click the OneDrive icon > Settings > Account to check your quota. Contact us if you need more storage.
