Voicemail configuration in a VoIP system involves setting up a mailbox for each extension and recording a greeting. In most hosted platforms, log into the admin portal, find the user's extension, and enable voicemail. Set the number of rings before voicemail answers (typically 20–25 seconds or 4–5 rings).
Users access voicemail by pressing the voicemail key on the desk phone (usually marked with an envelope icon) or by dialing the voicemail access number. The first login prompts for a PIN — set a non-trivial PIN (avoid 1234, 0000, or the extension number). Record the personal greeting, which callers hear before leaving a message.
Enable voicemail-to-email if the platform supports it — this sends an email notification (and often an audio attachment) when a new voicemail arrives, reducing missed messages. For users who travel or work remotely, this is particularly valuable. Ensure the email address in the user's VoIP profile is current. Set voicemail box storage limits to prevent full mailboxes from blocking new messages.
