A softphone is a software application that turns a computer, tablet, or smartphone into a VoIP phone. Common softphones include 3CX App, Zoiper, X-Lite, and provider-specific apps (RingCentral, 8x8 Work, Vonage Business). They're ideal for remote workers who don't have a desk phone.
Install the softphone app and enter the SIP account credentials: SIP server address, username/extension, and password. These are the same credentials used for desk phone provisioning. Most modern platforms provide a QR code or provisioning link in the user portal that configures the app automatically.
For audio quality, use a USB headset or the computer's built-in mic/speakers in a quiet environment. Bluetooth headsets introduce additional latency (20–40ms) but are acceptable for most calls. Ensure the softphone is not blocked by a firewall or antivirus — it needs outbound access on the SIP port (5060/5061) and the RTP port range. Test by calling an internal extension and an external number.
