Fax over VoIP (FoIP): Setup and Troubleshooting

Traditional fax machines use analog tones over phone lines, which don't transmit reliably over VoIP. Fax over IP (FoIP) uses the T.38 protocol to convert fax signals for IP transmission. Not all VoIP providers support T.38 — verify this before promising fax capability. For analog fax machines on a VoIP system, use an ATA (Analog Telephone Adapter) that supports T.38. Connect the fax machine to the ATA's FXS port. In the ATA settings, enable T.38 and set the network jitter buffer to low. Reduce fax machine speed to 9600 bps in the fax machine settings (lower speeds are more tolerant of network imperfections). For businesses that receive a moderate volume of faxes, cloud fax services (eFax, RingCentral Fax, Nextiva) are more reliable than analog fax over VoIP. They receive faxes as email attachments (PDF or TIFF), eliminating the analog conversion problem entirely. If analog fax over VoIP continues to fail, a dedicated POTS (traditional phone line) for the fax machine remains a reliable fallback.
