Hot desking allows multiple employees to use the same physical desk phone by logging in with their personal extension credentials. When a user logs in, the phone adopts their extension, voicemail, and call routing settings. This is valuable for shared workspaces, part-time staff, or shift workers.
Configuration on the PBX: create a 'hot desk' base extension for the physical phone. In 3CX, this is done by creating a phone under Users with the physical phone's MAC address, but without assigning it to a specific user. Users log in by dialing a feature code (e.g., *77) followed by their extension and PIN, or through the phone's menu system.
When a user logs out (or after a timeout), the phone reverts to the base extension or a default 'lobby' state. Ensure the base extension has an appropriate inbound routing (e.g., auto attendant) for calls received when no user is logged in. Train staff on the login/logout procedure. Hot desking works best with identical phone models throughout the office.
