Scan to Email allows a multifunction printer (MFP) to send scanned documents directly to email addresses. It requires configuring an outgoing mail (SMTP) server in the printer's web interface.
Access the printer's admin web interface via its IP address. Navigate to Scan > Scan to Email > SMTP settings. For Microsoft 365: SMTP server: smtp.office365.com, Port: 587, Authentication: STARTTLS, Username: a dedicated mailbox address (e.g.,
[email protected]), Password: the mailbox password. Enable Modern Authentication if supported.
Create a dedicated shared mailbox for the printer (no license required) to avoid tying the printer to a personal account. Test by scanning and sending to your own email address. If delivery fails, check the printer's email error log and verify that the SMTP AUTH is enabled for the mailbox in the Exchange admin center (some organizations disable SMTP AUTH by default for security — enable it only for the printer account).
