An accurate hardware inventory is the foundation of good IT management. It enables lifecycle planning, supports audits, aids in lost or stolen device reporting, and is required by many compliance frameworks. Every managed device should have a physical asset tag and a corresponding record in an IT asset management system.
Asset tagging: apply a numbered barcode or QR code label to each device (typically the bottom of laptops, back of desktops, and front of monitors). Use a label printer and pre-assigned number sequences. Record the tag number alongside the serial number, make, model, purchase date, assigned user, and location.
Tools for asset management: for small organizations, a spreadsheet works; for growing teams, dedicated tools like Snipe-IT (free, open source), IT Glue, or Freshservice provide searchable databases with check-in/checkout tracking, warranty dates, and maintenance history. Some MDM platforms (Intune, Jamf) auto-inventory managed devices. Conduct a physical inventory audit annually — compare physical assets against records and investigate discrepancies.
