SharePoint permissions control who can view, edit, and manage documents. By default, SharePoint sites inherit permissions from the parent — all members of the Microsoft 365 Group have edit access, all visitors have read access. Break inheritance only when specific folders or libraries need different access.
To manage site permissions: go to the SharePoint site > Settings gear > Site permissions. Add members (edit access), visitors (read access), or owners (full control) by entering their names. For item-level permissions, open the document or folder, click the three dots > Manage access.
Avoid excessive use of unique permissions — they create complex permission structures that are hard to audit and troubleshoot. Instead, design the site hierarchy so each team site/subsite has appropriate access for that group. Use Groups (Microsoft 365 Groups or security groups) rather than adding individual users directly — this makes offboarding easier. Run the 'Check permissions' tool (Site Settings > Site permissions > Check permissions) to verify what access a specific user has.
