OneDrive for Business: Storage Limits and Quota Management

Each Microsoft 365 Business user receives 1TB of OneDrive storage. SharePoint sites and Teams receive 25TB per site. Storage is generally not a concern for most small businesses, but it's worth understanding limits for planning purposes.
To check a user's OneDrive usage: go to admin.microsoft.com > Users > Active users > click the user > OneDrive tab > Storage used. Admins can view all users' storage usage in the SharePoint admin center under Sites > Active sites — filter for OneDrive sites.
When a user's OneDrive is near capacity, they receive email warnings. Advise them to delete files they no longer need and empty the Recycle Bin (items remain in the bin for 93 days by default and count toward quota). For large media files (videos, raw photos), consider using SharePoint team sites (with their own 25TB limit) instead of individual OneDrive. If a user genuinely needs more than 1TB, admins can increase the quota in the SharePoint admin center.
