Outlook rules automatically process incoming email — moving messages to folders, flagging them, forwarding them, or deleting them based on criteria. This helps manage high-volume inboxes and ensures important emails are easy to find. To create a rule in Outlook (desktop): right-click an existing email > Rules > Create Rule. Or go to File > Manage Rules & Alerts > New Rule for more options. Common rules: 'If from [newsletter sender], move to Newsletters folder'; 'If subject contains [project name], move to Projects\[Name] folder'; 'If marked as high importance, play a notification sound.' For best performance, keep the number of active rules under 50. Complex rules with many conditions slow email processing. Server-side rules (Run on server) execute in the cloud and apply even when Outlook isn't open — client-only rules only run when Outlook is open. If a rule stops working after updates, delete and recreate it. Avoid circular rules (e.g., a rule that moves email triggers another rule that moves it back).
