A ring group for a support team ensures incoming calls are distributed to available agents. When all agents are busy, calls queue or overflow to voicemail. Configuring this properly maximizes call answer rates.
In 3CX: Admin > Ring Groups > Add. Name the group (e.g., 'IT Support'), assign an internal extension number, add agent extensions as members. Choose ring strategy: Simultaneous (all ring at once — fastest answer), Round Robin, or Skill-based. Set the destination if unanswered (voicemail, another group, or external number).
For a professional customer experience: add hold music (Admin > Music on Hold > upload an MP3 of licensed hold music). Enable 'Queue' mode if agents should hear a queue announcement before accepting a call (e.g., 'Call from IT Support queue'). Configure maximum queue wait time — after X seconds, route to voicemail with a professional message. Review ring group statistics monthly to identify peak call times, average wait times, and abandon rates — use this data to adjust staffing.
