Choosing the right printer type depends on print volume, color requirements, speed, and budget. The wrong choice leads to high running costs or a device that can't keep up with demand.
For most offices: a monochrome laser printer or monochrome laser MFP (multifunction: print/copy/scan) is the best value for text-heavy printing. Laser printers have lower cost-per-page than inkjet (~1-3 cents per page vs 5-15 cents), faster print speeds, and toner doesn't dry out during periods of non-use. Color laser MFPs add color capability at higher cost-per-page for color prints.
High-volume environments: consider a production-class device (Xerox, Konica Minolta, Sharp) with a duty cycle matched to your print volume. Small offices: a compact MFP (HP LaserJet Pro MFP, Brother MFC series, Canon imageRUNNER series) handles typical office workloads well. Inkjet is best for: photo printing, occasional low-volume color printing, or wide-format applications. Always calculate the total cost of ownership (purchase price + toner costs over 3 years) before deciding — a cheap printer with expensive toner costs more overall.
