Formatting issues in Word are extremely common, especially when copying text from websites or other documents. Here's how to fix the most frequent problems.
Problem: Pasting text brings in unwanted formatting
Fix: Instead of Ctrl+V, use Ctrl+Shift+V (Paste Special) or right-click and select the "Paste as plain text" option (the T icon). This pastes text without carrying over fonts, colors, or styles from the source.
Problem: Weird spacing between paragraphs
Fix: Select the affected text > right-click > Paragraph. Check "Spacing Before" and "Spacing After" settings. For standard business documents, set both to 0pt and set Line Spacing to 1.0 or 1.15.
Problem: Text won't stay formatted the way you set it
Fix: Word uses Styles (Normal, Heading 1, Heading 2, etc.) that can override manual formatting. To clear all formatting: select the text and press Ctrl+Spacebar (resets font formatting) or click the eraser icon in the Styles pane (Home tab).
Problem: Bullet points or numbered lists are mis-aligned
Fix: Select the entire list. On the Home tab, click the bullet or number button to remove the list, then reapply it. Use the indent buttons to adjust levels.
Problem: Page breaks appearing in wrong places
Fix: Press Ctrl+End to go to the end of the document and delete any extra paragraph marks. Go to View > Show formatting marks (¶ button) to see invisible characters like page breaks. Click on an unwanted page break and press Delete.
Problem: Margins look different on different computers
Fix: Margins are saved with the document, but printer settings can override them. Go to Layout > Margins and set them explicitly. Save the file.
The nuclear option — clear all formatting:
Select the problem text (or Ctrl+A for all) and press Ctrl+Q (clears paragraph formatting) then Ctrl+Spacebar (clears character formatting). Then reapply clean formatting from scratch.
