Outlook: Junk Email and Spam Management

Getting too much spam, or legitimate emails going to junk? Here's how to manage junk email in Outlook. Mark emails as junk or not junk: - If a legitimate email landed in Junk, right-click it > Junk > Not Junk. This moves it to your inbox and helps train the filter. - If a spam email is in your inbox, right-click it > Junk > Block Sender. Future emails from that address go straight to Junk. Adjust Junk Email settings: In Outlook, go to Home > Junk > Junk Email Options. - Low: Catches only the most obvious spam - High: More aggressive filtering (may catch some legitimate email) - Safe Lists Only: Only emails from contacts or approved senders get through (very strict) Manage your Safe Senders list: Go to Home > Junk > Junk Email Options > Safe Senders tab. Add email addresses or domains that should never go to junk (e.g. @battlecreekit.com). Manage your Blocked Senders list: In the same Junk Email Options > Blocked Senders tab. Email from these addresses always goes to Junk. If legitimate emails are consistently going to Junk: 1. Check the Junk Email folder regularly and mark as "Not Junk" 2. Add the sender to Safe Senders 3. Ask the sender to check if their email server has a spam reputation issue For persistent spam that isn't being caught: Contact us — we can look at your Microsoft 365 spam filter settings at the admin level. Microsoft 365 has advanced anti-spam policies that can be tuned to reduce spam more effectively than Outlook's built-in filter alone. Reporting phishing: For suspected phishing emails (not just spam), use the Report Phishing button if available, or forward the email to [email protected].
