If Outlook isn't showing new emails, seems stuck, or you're missing messages that others have sent you, work through these steps.
Step 1: Check your internet connection
Outlook needs an active internet connection to sync. Look at the bottom status bar in Outlook — if it says "Disconnected" or "Trying to Connect," start there.
Step 2: Check the Send/Receive status
At the bottom of Outlook, it should say "All folders are up to date." If not, press F9 or go to the Send/Receive tab and click "Send/Receive All Folders."
Step 3: Check you're looking at the right folder
Emails from unknown senders sometimes land in Junk Email. Check that folder, and also make sure filters aren't hiding messages (View > Current View > Reset View).
Step 4: Make sure Outlook is not in Offline Mode
Go to the Send/Receive tab. If "Work Offline" is highlighted/active, click it to disable offline mode.
Step 5: Repair your email account
Go to File > Account Settings > Account Settings. Select your email account and click "Repair." Walk through the repair wizard — it will reconnect and re-verify your account settings.
Step 6: Clear the Outlook cache
Sometimes Outlook's local data file gets corrupted.
1. Close Outlook
2. Open Control Panel > Mail > Email Accounts
3. Click your account > More Settings > Advanced
4. Note the data file location, then close
5. Browse to that file (.ost), rename it to .old (don't delete it)
6. Reopen Outlook — it will rebuild the cache automatically (may take a few minutes)
Step 7: Check Mailbox storage
If your mailbox is full, new emails won't sync. In Outlook, go to File > Info and check your mailbox size. Contact us if you need storage increased.
