Outlook rules can stop working correctly after updates, account changes, or if they become corrupted. Here's how to diagnose and fix them.
What are Outlook rules?
Rules are automatic actions Outlook takes on incoming or outgoing email — for example, moving emails from a specific sender to a folder, or flagging messages with certain keywords.
Common symptoms:
- Rules that used to work have stopped
- Emails are landing in the wrong folder
- A rule you created doesn't seem to run
Step 1: Check if rules are enabled
In Outlook, go to Home > Rules > Manage Rules & Alerts. Make sure the checkbox next to each rule is checked.
Step 2: Check the order of rules
Rules run top-to-bottom and stop when a match is found (if "Stop processing more rules" is enabled). If a higher rule is catching emails before your intended rule, drag and reorder them.
Step 3: Delete and recreate the rule
Corrupted rules are common. Delete the problem rule and recreate it from scratch.
Step 4: Run the Rules once manually
In Manage Rules & Alerts, click "Run Rules Now" and select the rules you want to test. This can reveal if a rule is working at all.
Step 5: Check server-side vs. client-only rules
Some rules only run when Outlook is open (client-side). If you need a rule that runs even when you're not at your computer, it needs to be a server-side rule — these don't include conditions like "on this computer only."
Step 6: Reset all rules (last resort)
Open a Command Prompt and run: outlook.exe /cleanrules
This deletes all rules — use only if all else fails. You'll need to recreate them.
