Setting up and managing voicemail on your Yealink T54W phone.
Accessing Voicemail:
- Press and hold the 1 key on the dialpad
- Or press the Messages button (envelope icon) on the phone
- Follow the audio prompts from your voicemail system
First-time setup:
The first time you access voicemail, you'll be prompted to:
1. Set a PIN/password (choose something you'll remember — write it down securely)
2. Record your name
3. Record your voicemail greeting
Recording your greeting — what to say:
"You've reached [Your Name] at [Company Name]. I'm unavailable right now. Please leave your name, number, and a brief message and I'll return your call as soon as possible. Thank you."
Checking messages:
1. Access voicemail (hold 1 or press Messages)
2. Enter your PIN when prompted
3. Follow the menu prompts:
- Press 1 to listen to new messages
- During a message: press 2 to save, 3 to delete, 4 to replay, # to skip
Voicemail indicator:
When you have unheard voicemail messages, the phone shows a voicemail icon on the screen and the message light (MWI — Message Waiting Indicator) blinks on the phone. This is typically a light on the handset or near the screen.
Forwarding voicemail to email:
Many phone systems support voicemail-to-email, where voicemail messages are sent as audio file attachments to your email. Contact us to enable this feature — it's very convenient and means you can listen to messages from anywhere.
Resetting a forgotten voicemail PIN:
Contact us — we can reset voicemail PINs through the phone system admin portal.
Changing your greeting:
Access voicemail > follow the prompts to the Personal Options or Greetings menu. Exact menu structure depends on your phone system provider.
