Microsoft Teams Phone: Making Regular Phone Calls from Teams

Microsoft Teams Phone lets you make and receive regular phone calls from Teams — calling any phone number, not just Teams users. Here's how it works and how to use it. What is Teams Phone? Teams Phone replaces a traditional desk phone system. With a Teams Phone license and a calling plan, you get a real phone number assigned to your Teams account. You can call any mobile or landline number from Teams and receive calls at your Teams number. Requirements: - Microsoft 365 with Teams - Teams Phone license (add-on, separate from standard Teams license) - A calling plan (Microsoft Calling Plan, or a third-party operator connection) Contact us if you'd like to set this up — we can advise on licensing and port your existing phone numbers. Making a call: 1. In Teams, click the Calls icon (phone) in the left sidebar 2. You'll see a dial pad — type or click the number you want to call 3. Click the call button (green handset) 4. Use your computer's speakers and microphone, or a headset Receiving a call: When someone calls your Teams Phone number, a banner appears in Teams showing the caller's number. Click Accept to answer or Decline to send to voicemail. Voicemail: Missed calls go to your Teams voicemail. Listen to them by clicking Calls > Voicemail in the left sidebar. Voicemail can also be sent to your email as an audio file — confirm with us if this is set up. Transferring calls: During a call, click the three dots (...) > Transfer > enter the extension or phone number. Choose Consult first (speak before transferring) or Transfer now (blind transfer). Call history and voicemail: All call history (incoming, outgoing, missed) is logged under Calls in Teams. Using Teams Phone on your mobile: Install the Teams app on your phone. Under Calls, you'll have access to the same dial pad. You can make and receive calls over your phone's data or Wi-Fi — same number, same experience. Benefits over a traditional phone system: - No physical desk phone required (though you can use a Teams-compatible desk phone if preferred) - Works from anywhere — home, office, or on the road - Call history and voicemail all in one place - Integrates with Teams calendar, contacts, and presence (shows if you're on a call)
