Scheduling meetings in Outlook is much easier when you use the built-in tools to find times that work for everyone. Here's how.
Creating a basic meeting invite:
1. In Outlook, switch to Calendar view (click the Calendar icon bottom-left)
2. Click New Meeting (or double-click a time slot on the calendar)
3. In the To: field, enter the email addresses of everyone you're inviting
4. Enter a Subject (meeting title)
5. Set the Location (a conference room, "Microsoft Teams Meeting," or a physical address)
6. Set the date and time
7. Add any notes or agenda in the body
8. Click Send
Adding a Microsoft Teams link:
Click "Teams Meeting" in the ribbon — this adds a Teams link to the invite automatically. Attendees can join by video no matter where they are.
Using the Scheduling Assistant (finding a time that works):
This is the most valuable feature — it shows you everyone's availability so you can pick a time when no one has a conflict.
1. Open a new meeting invite and add your attendees
2. Click the "Scheduling Assistant" tab (near the top of the meeting window)
3. A grid shows each attendee's calendar in a timeline view:
- White = free
- Blue = tentative
- Dark = busy
4. Click on a free slot for everyone to set the meeting time
5. The "Suggested times" panel on the right shows the best options automatically
Note: You can only see availability for people in your organization. External guests will show as "no information available."
Responding to meeting invites:
When you receive a meeting invite, use the Accept / Tentative / Decline buttons. You can also propose a new time if the suggested time doesn't work.
Setting a meeting as recurring:
In the meeting window, click "Recurrence" and set the pattern (daily, weekly, monthly) and end date or number of occurrences.
Forwarding a meeting:
Open the meeting from your calendar > Actions > Forward. This sends the invite (including the Teams link) to someone who wasn't originally invited.
